Viewing responses, CSV export and managing forms

Response summary and individual view, downloading a CSV, stopping responses and unpublishing, making a copy and deleting, and what a blocked form means.

You view responses in the Responses tab of the form editor. You manage your list of forms on the My forms page.

Where do I see responses?

The total number of responses is shown at the top of the Responses tab, with two views below it.

  • Summary: charts and the answer distribution for each question. For a quiz, the average score is shown as well.
  • Individual: step through responses one at a time, newest first. Each shows the submission time, the collected email and the quiz score.

Can I download responses as a file?

Click Download CSV in the Responses tab. The file is formatted so that non-English text displays correctly when opened in Excel.

  • The first column is the submission time (in UTC). If you collect email, an email column follows, and quizzes also get a score column.
  • For questions where several options can be selected, the choices are joined with semicolons (;) in one cell.
  • Grid questions get a separate column for each row.
  • Column headers and the file name are in the interface language you are currently using.

Can I edit questions while collecting responses?

You can edit after publishing, and changes show up for respondents immediately. However, if you delete a question or option that already has answers, those answers may no longer display properly in the summary and the CSV. While you are collecting responses, adding new questions is safer than deleting existing ones.

Can I delete responses?

  • One response: click Delete this response in the Individual view.
  • All responses: click the trash icon (Delete all responses) at the top of the Responses tab.

Deleted responses cannot be restored. Download a CSV first if you might need them.

I want to stop taking responses for a while

There are two ways.

  • Turn off Accept responses: switch off Accept responses in the Responses tab. The link still opens, but respondents see "This form is no longer accepting responses." Switch it back on to start accepting again right away.
  • Unpublish: click Send at the top right, then Unpublish. The link itself stops opening, and respondents see "Form not found." Your responses are kept, and publishing again reopens the same link.

If you set a response limit or a closing time, the form stops accepting responses automatically when the condition is met. See Section branching, quizzes and response settings for how to set them.

I want to copy a form

On My forms, open the More menu on the form card and choose Make a copy. Questions, settings and theme are copied. The copy starts unpublished, and responses are not carried over. When you publish the copy, it gets a new link that is different from the original.

What happens when I delete a form?

On My forms, open the More menu on the form card and choose Delete. The form and all of its responses are permanently deleted, and this cannot be undone. Links you shared will no longer open. If you need the responses, download a CSV before deleting.

My form changed to "Blocked"

When a report is confirmed as a policy violation (for example phishing, asking for personal information such as passwords, or spam), our team may block the form.

  • The response link stops working, and respondents see "This form was blocked for violating our policies."
  • A blocked form cannot be published again or copied.
  • You can see the reason in the banner at the top of the editor.
  • You can still view and download the responses you already received.

If you think this is a mistake, contact us as described below. If the block is lifted after review, the form returns to the publish state it had before it was blocked.

If you need help

Open a support request, choose Forms as the service, and include the email of the account you signed in with, the form title and the response link. For questions about a block, also tell us what the form is for and why you think the block is a mistake.
